POLAR
We understand the importance of protecting the personal information of our clients. To earn and maintain your trust we have designed our policy to meet or exceed the requirements of the Personal Information Protection and Electronic Documents Act (PIPEDA).
Identifying Purpose of Collection
When you apply for a POLAR account, you will be required to provide certain personal information to verify and vet your application. Much of this same information will be required when you activate your POLAR account, and may include your full name, the agency or law firm you represent (if applicable), your full mailing address, telephone number, and email address. The information is required to identify you, in order to contact you, if necessary and to process packages that you submit through POLAR.
When registering a credit card for POLAR transactions, you will be required to provide your payment card number, CCV code, expiry date, and billing address. This information, however, is not captured by POLAR, but is captured directly by our payment gateway company (Moneris) on a secure page, hosted by Moneris. You are assured that your card holder information is safe and secure with Moneris.
Cookies
A cookie is a small non-executable file that is stored on your hard drive for the purpose of identifying your computer. While it is possible to use POLAR by having your browser's Internet security set such that it will not accept cookies, your online experience may be greatly reduced.
POLAR uses permanent cookies that remain on your hard drive until you remove them through your browser's Internet security settings. Permanent cookies are used to store user preferences such as your preferred language, a currently-selected tab, and to automatically log you in when you return to the site. They eliminate your having to make the same entries on each visit.
Our cookies are not tied to personally identifiable information.
Consent
When you submit a package using POLAR, you provide Legal Registries with your implied consent to use your information to review and process the package, collect payment and provide feedback.
Limiting Collection
Legal Registries will limit the collection of personal information to that which is necessary to fulfill the purpose for which it was collected.
Limiting Use, Disclosure and Retention
Legal Registries will not use or disclose your personal information for purposes other than those for which it was collected without your explicit consent or as required by law.
Customer information is retained for as long as necessary to fulfill the purposes for which it was collected.
Accuracy
When you activate an account in POLAR, you can ensure that the personal information we hold is accurate and up to date. You supply the information and if it should change, for example if your telephone number changes simply click on 'My Account" and make the necessary changes.Safeguards
Personal information you provide in POLAR is encrypted as it travels over the Internet. Depending on your web browser you may see a secure webpage indicator, for example a closed lock in the lower right hand corner of the Internet Explorer browser. The use of Secure Socket Layer protocol (SSL) allows all personal information to be encrypted as it travels from your computer to POLAR's hosting system. Once received, the information is unencrypted and processed as needed.

Individual Access
With certain limited exceptions as provided in the PIPEDA you have a right to access your personal information held by Legal Registries. You may access your personal information held in your POLAR profile by clicking on 'My Account' in POLAR.
