Legal Registries Modernization: Phase 1

Email Searches and Submissions

The Legal Registries Division has embarked on a process of modernization to enable electronic registration in all Registries. The modernization is progressing in phases and will facilitate and expedite the searching, filing and registration functions particularly of the Land Titles Office (LTO) and Corporate Registries (CR).

We have prepared a Corporate Registries Submissions Guide and a Land Titles Submissions Guide which contain important guidelines and information on how you may (and in some cases must) submit documents to Legal Registries.

The first phase commenced September 1, 2008, and permits searches, filings and registrations to be submitted in Adobe® PDF (Portable Document Format) via e-mail. Submissions via email must adhere to specifications detailed below, and can be sent to the following email addresses:

Email Search Request Format

When submitting a search request, you mustinclude the following information:
  • Name of individual and corporation requesting search;
  • Address and contact telephone number of person making request;
  • Particulars of the search requested;
  • Authorization to charge a credit card already on file with Legal Registries, or contact telephone number for staff to obtain required card information.

Email Submission Format

When submitting documents for filing/registration, you must include the following information:

  • Name of individual and corporation requesting search;
  • Address and contact telephone number of person making request;
  • Clear instructions regarding the attached documents, if required;
  • All supporting documentation must be Adobe® PDF files (Portable Document Format) and clearly show all signatures where they are required;
  • Contain a statement that the person submitting the documentation is the solicitor, attorney, or agent authorized by the party or parties to submit on their behalf or the party himself or herself;
  • Contain a statement by the person submitting that all signatures on the submitted PDF documents are original signatures on the scanned documents.
  • Authorization to charge a credit card already on file with Legal Registries, or contact telephone number for staff to obtain required card information;
  • PDF scanning resolution should be 300 dpi and the total size of the email message should not exceed 2 megabytes (MB). Should your message exceed this size, please break it into multiple messages indicating “- Part x” at the end of the subject line.

These email requirements provide the following essential information:

  • Authentication of originator
  • Authentication of documentation and execution
  • Authorization for payment of prescribed fees

Legal Registries Modernization: Phase 2

Land Titles Internet Application - POLAR

In Phase 2 of Legal Registries modernization plan, we've launched Canada's first cloud-computing based land registration system, called POLAR (PArcelized Online Land Registration). POLAR allows registered users to create and submit documents for registration/filing from their desktop via the Internet, verify data, do General Register, Writ searches, Title Searches and online payment processing. Access to instruments, titles, and plans is quick and easy. POLAR keeps clients abreast of the status of their packages with a real-time view of their submissions and email status updates. 

POLAR does not require any specific hardware or software other than a modern version of a common browser.

There are no additional fees for using POLAR. Training isn't required because the system offers an intuitive interface and design. Solicitors in good standing with the Law Society of Nunavut, and selected partners, require a User ID and password to access POLAR. To obtain these credentials, as a Solicitor, please instruct the Law Society of Nunavut to forward a Certificate of Good Standing to the Land Titles Office.
